Job summary
To undertake a range of administrative and clerical duties, working alongside the nursing and medical workforce, to support patient tracking, and timely provision of patient care. Supporting to avoid delays ensuring safe patient care and positive patient experience both within the Emergency Department and the wider organisation.
To actively monitor the patient journey throughout ED, to ward transfer or discharge. Escalating appropriately any delays and to work closely with the multidisciplinary team to deliver a high quality patient focused service.
The role requires good interpersonal skills and interaction with multidisciplinary teams across the Trust to achieve the NHS Standards for Emergency Departments.

Main duties of the job
Work closely with the ED nurse coordinator(NIC), Emergency Physician in Charge (EPIC) and the wider team to support patient flow, in line with national Key Performance Indicators (KPIs).
Utilise the electronic patient record system (Meditech) to ensure accurate tracking of the patient journey throughout their time within the ED,
Demonstrate effective communication skills in the assistance of patients, relatives and staff members, both in person and over the telephone.
Handle incoming telephone calls in a professional manner, directing callers to the appropriate source of information
Provide regular tannoy announcements to communicate current waiting times to patients for both minors and majors. Demonstrate effective IT skills in accessing and inputting data relevant to patient flow in the Emergency Department e.g accessing blood results/swab results and any other appropriate investigations and escalating any delays in process.
Monitor patient throughput times in line with national KPIs and ensure all clinical staff are aware of delays and potential breaches
Liaise with Specialty teams to ensure timely review of patients, ensuring correct entry of any decisions to admit and escalating any delays as appropriate

Experience
Essential
- Good general education to GCSE standard (or equivalent), including English and Maths
- Proven administrative or clerical experience in a busy office or healthcare environment
- Competent IT skills, including use of Microsoft Office applications (Word, Excel, Outlook) and data entry systems
- Knowledge and understanding of confidentiality, data protection, and record management procedures
- Evidence of ability to prioritise workload and manage time effectively
Desirable
- NVQ Level 3 (or equivalent) in Business Administration or Health Administration
- Experience using hospital electronic patient record systems (e.g. Meditech, EPR, PAS, or similar).
- Experience of working within a front-line clinical environment such as Emergency Department, Outpatients, or Inpatient Ward
- Understanding of NHS patient flow processes and key performance indicators (such as 4-hour ED targets).
- Awareness of infection prevention and control and patient confidentiality in a clinical setting
